Position Title: Administrative Assistant
JOB DESCRIPTION
Relationships:
Supervisor: Executive Director
Immediate Supervisor: Office Manager
Immediate Subordinates: none
Major Function:
Providing a welcoming presence and helpful services for those visiting and/or utilizing the Springfield Art Association while assisting the Office Manager in daily operations of the SAA. Primary responsibilities are front desk reception, greeting, directing and assisting all visitors to the SAA and answering the telephone. Additional responsibilities include selling tour and event tickets and registering people for classes in person and by phone. Secondary responsibility will be to oversee the Michael Victor II Art Library, processing books in and out, re-shelving books used internally and attending Library Committee meetings. .

Physical Demands: Requires an outgoing and cheerful demeanor. Good physical condition required for prolonged standing or sitting; frequent bending, stooping, stretching and carrying; lifting up to 50 pounds; climbing a small ladder to reach high bookshelves; eye-hand coordination and manual dexterity.
Education and Experience: Associates or Bachelor’s degree from an accredited university or college.
Knowledge, Skills and Abilities:
Compensation: The Office Assistant position is part-time, 25 hours a week. Hours are Monday 10-3, Tuesday 10 to 5, Friday 10 to 5, Saturday 10 to 3. The Assistant may be asked to work more hours during SAA events, as requested and/or approved by the Executive Director. There are no medical, dental or vision benefits with this part-time position. This position does not include days off, sick leave, or vacation benefits.

- Greets and assists visitors to the SAA
- Answers the telephone and responds to inquiries or takes messages.
- Assists the Office Manager in daily operations including selling tickets, registering people for classes, generating letters and mailings, filing and staff support as needed.
- Provides library book processing checking books in and out of the system. Re-shelves materials as needed. Alerts the Executive Director to needs within the library.
- Assists the SAA as needed.

- Requires working knowledge of Microsoft Office and internet skills.
- Requires excellent interpersonal and communication skills.
- Requires the ability to work and communicate effectively with SAA patrons and staff.
- Requires the ability to communicate effectively with persons from a variety of age groups and intellectual differences.
- Requires the ability to maintain records, files and data information.
- Requires the ability to work independently and efficiently.
- Knowledge of the SAA, local history and the arts in general are a plus.
